School MIS is a school management system for secondary schools, at schoolsug.com, with a phone app called SchoolsUG. It is run by JD Online Solutions. This page says what the system holds, why, who can see it, and how to have it corrected or deleted.
Every school has its own address, such as yourschool.schoolsug.com, and its own separate database. The school decides what is recorded about its students, parents and staff, and is responsible for that information under Uganda's Data Protection and Privacy Act, 2019. We hold and process it on the school's behalf.
For this website itself — the demonstration request form, the help chat and the account deletion form — JD Online Solutions is responsible.
About students, as the school records them:
About parents and guardians: name, relationship to the student, telephone and WhatsApp numbers, and email address.
About staff: name, email, telephone, the roles they hold and, where the school runs its payroll here, the salary details the school enters.
About schools as our customers: billing contacts, invoices and payments. Card payments go through Flutterwave; we never see or store a card number, only a token Flutterwave gives back so a school can choose to pay the next term automatically.
On this website: the name, school, telephone and email of anyone who asks to see the demonstration school; questions typed into the help chat; and account deletion requests.
Nothing is sold, shared for advertising, or used to build profiles of anybody.
We hand information to anybody else only when the law requires it.
The app has no advertising and no tracking.
A school's records are kept for as long as the school uses School MIS, because a school needs a student's results, fees and reports for years — a former student asks for a transcript long after they leave. A student who leaves is archived rather than deleted, for the same reason. A school that stops using the system can have its records handed back and then deleted.
Demonstration requests are kept while we follow them up, and deleted when you ask. The demonstration school contains only invented people and is rebuilt every night.
Under the Data Protection and Privacy Act you may ask to see what is held about you or your child, to have it corrected, to object to how it is used, or to have it deleted. For a school's records, ask the school first — it is the school's record — or write to us and we will work with the school to answer within 30 days.
If you are not satisfied, you can complain to the Personal Data Protection Office (pdpo.go.ug).
To have your School MIS or SchoolsUG app account deleted, use the account deletion form. It says what is deleted and what a school is required to keep.
Students do not sign in. Their records are kept by their school for their education, and are seen by their own parents and by the school's staff as their roles allow.
When this policy changes, the date at the top changes with it.
